Annual Rate: $49,461.46 to $59,131.68 per annum

 

Summary:

The Clinical Coordinator is responsible for supporting clinical operations and ensuring the efficient delivery of client care. This role focuses on coordinating program-based activities, scheduling, and maintaining smooth workflow processes. The Clinical Coordinator will work closely with the program supervisors and managers and to facilitate high-quality care and ensure operational efficiency. 

 

Responsibilities include, but are not limited to, the following:

  • Develop and manage staff schedules to ensure adequate coverage for all shifts;
  • Coordinate and maintain employee schedules;
  • Coordinate client appointments, as required, and manage scheduling conflicts;
  • Prepare monthly on-call schedules;
  • Respond to inquiries from clients, families and others;
  • Assist in organizing and coordinating program-based activities;
  • Coordinate time off requests for all programs; and documents unscheduled work absences;
  • Book and confirms client appointments for Psychiatrists and Primary Care Physicians;
  • Scanning/filing clinical records;
  • Data collection and analysis, using appropriate software (MSWord, Excel, Outlook)
  • Creating and distributing reports, as required;
  • Attends and takes minutes at meetings as required;
  • Prepare client records upon discharge as required;
  • Deliver all services in a professional manner and according to established guidelines and associated benchmarks;
  • Prioritize incoming requests in a timely manner;
  • Exercise the utmost discretion and confidentiality in handling sensitive information, relating to the daily activity of the individuals support is provided to.

 

Technical and Behavioral Competencies Required:

  • College diploma or undergraduate degree is required.
  • Minimum 3 years clinical support and client scheduling experience, in a fast-paced and highly visible organization
  • Proactive, self-starter who takes initiative, owns projects and meets deadlines aligned with business objectives.
  • Exceptional (written and verbal) communication skills and interpersonal skills. Develops lasting, positive and value-adding relationships.
  • Strong interpersonal skills and able to relate well to others;
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task under pressure and with time-sensitive deadlines.
  • Excellent organizational skills;
  • Technologically savvy and highly proficient with Microsoft Office (Word, Excel, and PowerPoint) and other applications, as required.

  • Works a 37.5 hours workweek, Monday through Friday
